Job Summary
- We are seeking a proactive, organized, and detail-oriented Admin to join our team. The ideal candidate will provide comprehensive administrative and operational support to ensure the smooth functioning of daily business activities. This role involves coordinating financial documentation, managing procurement and contracts, overseeing office operations, and supporting event, meeting, and fleet management. The successful candidate will work closely with multiple departments to maintain efficiency, accuracy, and compliance across all administrative processes.
Job Description
- Prepare APL on administrative matters – Conduct price comparisons and verify all documents from outsourced contractors; prepare and submit documents for signatories.
- PO issuance – Coordinate with Finance for new supplier registration by submitting company and VAT documents in SAP; create and process Purchase Orders (POs), ensuring signed quotations and approved POs are submitted to suppliers.
- Handle approval for payment – Verify received invoices and supporting documents such as reports, goods received, and stock cards; prepare payment summaries (AFP) and process them for required signatories. Process the approved payments in the Flow One System.
- Office management – Ensure the office is well-equipped with stationery, office equipment, amenities, and refreshments; manage inventory and replenishment of all office supplies.
Key Qualification
- Proficient in Microsoft Office applications
- Skilled in creating professional PowerPoint presentations
- Good command of spoken and written English
- Highly adaptable to various work environments and tasks
- Experience with SAP and Flow One systems will be an advantage
