About the Role

The Assistant Manager / Manager, CEO’s Office, provides high level administrative, operational, and strategic planning support to ensure the seamless execution of the CEO’s Office priorities.

 

This is a position tailored for a business-minded professional who can look beyond basic administration to drive enterprise level planning processes, strengthen cross-functional execution, and ensure the CEO’s Office operates with clarity, discipline, and data-driven insight. The ideal candidate will be an exceptional, proactive coordinator capable of managing complex schedules, analysing executive data, and acting as a professional, trusted gateway for internal leadership and key external partners, clients, and joint-venture stakeholders.

 

How you’ll make an impact

Enterprise Planning & Business Partnering

  • Performance Tracking: Support the CEO’s office in driving and tracking enterprise level planning processes and Business Unit KPI monitoring.
  • Data Analysis & Executive Dashboarding: Consolidate, analyse, and format business data and operational updates from functional heads to ensure the CEO is briefed with data-driven insights ahead of key reviews.
  • Special Projects Coordination: Participate in and actively drive the progress of special cross-functional projects, business cases, and strategic initiatives as defined by the CEO.
  • Action Item Governance: Track and follow up on critical action items, operational deliverables, and decisions arising from FPS management meetings, ensuring accountability and timely execution across all departments.

Executive Coordination & Calendar Management

  • Calendar Support: Manage and protect the CEO’s calendar, prioritizing high value engagements. Coordinate key strategic alignment meetings for the CEO’s Office to ensure seamless synchronization across support functions.
  • External Stakeholder Liaison: Act as a professional gateway for external stakeholders (investors, joint venture partners, government regulators and clients). Coordinate site visits, external project presentations, and corporate briefings.
  • Travel & Logistics: Organize comprehensive travel itineraries, flights, transport, and accommodation for the CEO local and overseas business commitments.
  • Expense Administration: Handle timely compilation, verification and submission of travel expenses, corporate claims, and invoices in compliance with Group financial policies.
  • Onboarding & Offboarding Coordination: Support end-to-end operational workflows for new joiners and departing staff within the CEO’s Office, where required

Content Preparation & Communications Collaboration

  • Presentation Development: Proactively gather briefing materials, financial/operational data, and pre-reads. Compile and format visually polished presentation slides and strategic reports for the CEO.
  • Decision Oriented Documentation: Produce high quality, decision-oriented meeting minutes capturing key strategic points, decisions, owners, deadlines, and required escalations.
  • Strategic Event Oversight: Plan and support high-value executive engagements (leadership retreats, strategic off-sites, and townhalls), aligning logistical excellence with content preparedness together with the leadership and guidance from FPS Communications & Branding team, where appropriate.
  • Risk & Backup Management: Proactively identify and escalate potential conflicts, related-party matters, or unclear mandates. Serve as a shared resource and backup support to other corporate divisions when required.

 

What you’ll bring

  • Minimum 5–8 years of experience in a high-level Business Administration, Corporate Operations, or Executive Assistant role supporting C-level executives. A background in business management or office operations is highly valued (real estate or developer industry experience is an advantage).
  • A structured, business-minded coordinator who understands corporate structures and can intuitively prioritize tasks based on strategic goals. The ideal candidate has strong potential and ambition to grow into a corporate manager or project leader role.
  • Strong strategic thinking to align initiatives with organizational goals, paired with a meticulous eye for detail to ensure all execution, reporting, slide formatting and executive-level outputs are presented flawlessly.
  • Polished, professional verbal and written communication skills, with the capability to engage confidently and effectively with senior internal executives, Group FELT leaders, Office Managers, and key external clients.
  • Highly organized, proactive, and resilient; capable of multitasking, managing multiple competing priorities, and driving project deadlines without losing focus on critical details.
  • Proven ability to handle highly sensitive, confidential business and personnel information with the highest levels of integrity, absolute discretion, and ethical standards.
