Job Summary

You will provide administrative support such as preparation of reports to senior management, administer pre/post sales processes and department logistic, check and process invoices for prompt payment and escalation of issues to ensure smooth operations/ overall compliance to business policies and procedures.

Job Description

  • Manage all pre- and post-sales administrative processes (such as taking minutes of meeting, follow-up of documents, collation, e-filing and hardcopy filing of sales documents, liaise with vendors for services (e.g. cleaning services, vending machines, printers, photocopy machines, etc.); verify sales documents, issuance of Option to Purchase, update sales systems/tracking lists, monitor progressive payments, late payment interest, process sales commissions and incentives, and coordinate with lawyers-in-charge on the preparation of Sale and Purchase Agreements to ensure timely and accurate post-sales processing.) Conduct customer due diligence check (e.g. Prevention of Anti-Money laundering and Countering the Financing of Terrorism) to ensure compliance with relevant laws and best practices and maintain/update personal data collection in sales system
  • Handle sales and feedback enquiries via hotline and email, ensuring timely responses and proper handling and tracking of sensitive personal data. Ensure ample office supplies (e.g. stationery, A4 paper, arch files etc.) for Sales & Marketing (residential) team and upcoming property launches
  • Prepare internal management reports, and sales reports for submission to relevant authorities (e.g. URA)
  • Managed creation and approval of SAP Purchase Orders and Purchase Requisitions, ensuring compliance with Delegation of Authority limits and timely payment processing and verifying the accuracy of staff claims in Concur system as assigned.
  • Maintain housekeeping of the shared drive and assist the Administrative Manager in refining processes and procedures on an ad-hoc basis, including SAP system workflows.Carry out any other ad-hoc administrative tasks as assigned.

Key Qualification

  • Diploma and or/Degree in Business, Real Estate or equivalent disciplines
  • Experience with SAP is an added bonus
  • Minimum 2 years of relevant experience sales and marketing administrative/operation role within the real estate industry
  • An enthusiastic team player who possesses excellent communication and interpersonal skills
  • Ability to work under pressure in a fast-paced environment
  • Independent, innovative, proactive and resourceful
