Job Summary
To assist in the effective administration so as to ensure smooth running of the Management Office.
Job Description
- To provide day-to-day administrative and co-ordination support to the Management Team at Frasers Tower
- To maintain an efficient filing / e-filing system and stationery and office equipment
- To act as the Ariba’s Licence User for the pre-qualifying of vendors / contractors, calling for quotes and tenders via Ariba System
- To assist in obtaining quotation, raising purchase requisition / orders, processing invoices in SAP
- To handle car park matters: - Integrated Carpark Management System e.g. season parking application & termination, ensure prompt payment and preparation of monthly reports etc
- To assist in the timely submission of Property Management reports and any other ad-hoc reports (when applicable)
- To ensure good tenant relations through regular communication and prompt response to tenants’ needs / requests.
- To handle the Petty Cash matters
- To conduct prompt checks on the Service Request by Tenants via MyICEPortal is duly completed and routed to SAP for billing.
- To follow up closely with Tenants for prompt payment of Service Request / Amenities Booking via MyICEPortal
- To follow up closely with Finance Team and provide prompt update on the monthly outstanding payment, accrues and also generate monthly expenses lines from SAP
- To handle arrears management
- To assist in managing any other events / activities within Frasers Tower
- Any other tasks as assigned by immediate supervisor/management.
Key Qualification
- 2-5 years of administrative experience
- Well-organized with the ability to multi-task
- A good team player with an eye for detail
- Knowledge of SAP and Ariba is highly preferred
