Job Summary

This role is responsible for supporting team members, managing daily office operations, and overseeing departmental administrative activities. 

Job Description

•    Financial and Procurement Support:
o    Submit and reconcile expense claims.
o    Create Purchase Orders (POs) and manage related financial processes.
•    Travel Coordination:
o    Arrange travel logistics for business trips, including booking flights, accommodations, transportation, and preparing travel itineraries and documents.
o    To ensure the required approvals are obtained for these business trips
•    Administrative and General Office Support:
o    Serve as a point of contact for internal and external stakeholders.
o    Manage and distribute incoming mail, packages, and deliveries.
o    Prepare and maintain the Departmental Workplan.
•    Employee Onboarding and Offboarding:
o    Manage access card issuance and return, locker assignment, creation of digital name cards, and other related tasks.
•    Event Management:
o    Plan, organize, and support staff events and corporate functions.
•    Secretarial Support to Managing Director:
o    Manage the Managing Director’s calendar, schedule meetings, and coordinate appointments.
•    General Administration:
o    Oversee the receipt, issuance, and audit of corporate gifts.
o    Track the issuance, loan, and disposal of laptops and conduct regular audits.
 

Key Qualification


•    Minimum GCE O level or equivalent with minimum of 3 years administrative support experience
•    Prior experience in providing secretarial support is an advantage.
•    Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); knowledge of SAP is an added advantage.
•    Strong multitasking abilities with excellent organizational and time management skills.
•    High level of accuracy, attention to detail, and thoroughness.
•    Strong interpersonal skills with the ability to interact effectively with individuals at all organizational levels.
•    Positive attitude, adaptability, flexibility, and a willingness to learn and grow.
