Job Summary

Job Description

  • Support the leasing team with handling leasing enquiries, viewings and handle renewals
  • Ensure timely consolidation of data for reporting on a monthly and quarterly basis.
  • Work with leasing team to develop marketing materials, collaterals and circulars.
  • Assist with CEA licensing matters including ensuring staff fulfils necessary Professional Development (CPD) training for license renewal.
  • Ensure property and tenants information are updated in the internal system.
  • Manage the Agency portal such as uploading plans, photos to ACE portal and update details for units to market and ensure queries are responded to promptly and accurately. Coordination work to send EDMs to agents/prospect (if required)
  • Assisting in viewings of properties (if required)
  • Attending to Central Leasing enquiries (generic enquires with no building specifics)
  • To assist with raising of ad-hoc Invoice request form (IRF) requests. 
  • To raise late payment interest waiver form upon SVP email approval  
  • To assist in compiling leasing commission form/report monthly and circulate for signatures, submission to Finance.  
  • To key in Gross Turn over sales collected every month into excel
  • Assist with creation of vendor for Security Deposit refund, and for vendor which is not in the system (eg property agency) and also E-form creation for new/renewal leases
  • To update remarks in Tenancy Schedule (E-Property Management report)
  • To update tenant’s contact list (as and when have changes), floor plan (quarterly), signatory for new hirer (if required)
  • To coordinate meetings/ minutes/ reports for CLT
  • Application to IRAS for sub-division works
  • Requisition of stationaries for the team
  • Liaising with Corp admin on courier of documents 
  • To assist HOL in Onboarding for new hire or change in portfolio i.e. liaise with IT for SAP access, laptop request and etc    
  • Any other ad hoc duties assigned

Key Qualification

  • Good communication and writing skills which are essential for report compilation
  • Proficient in excel and possess the ability to work with numbers.
  • Proficient in PowerPoint and able to organize slides for effective presentations.
  • Prior experience and knowledge using SAP will be a plus.
  • Candidates with CEA licensed preferred
  • Min. 1-2 years of working experience with a commercial landlord
